Digitalization, construction, grants - one portfolio for your institution

Whether it's a process going digital, an IT system migration, or the next building project: WORKSPACE.PM pulls your institution's initiatives into one shared portfolio, ties them back to your digital strategy, and gives leadership a report that doesn't get stitched together from six emails on a Friday afternoon.

The everyday reality between digital strategy, the works department and the president's office

Four challenges that come up at practically every institution, regardless of size or structure.

Nobody quite knows how many digitalization projects are running at once

Administration is rolling out a new campus management system, IT is running its own project, and three faculties have their own digitalization efforts - a list that brings it all together usually doesn't exist.

Construction and major equipment run for years, across several faculties

A new building or a renovation spans election cycles and touches the works department, finance and the faculty using the space, all at once - and it's still often coordinated through separate spreadsheets.

The digital strategy is signed off, but hardly any project can really be traced back to it

The institutional development plan sets clear goals. Which of the running projects actually contributes to them, and which is just along for the ride, is rarely clear by the end.

The report to leadership gets pieced together from six emails on a Friday afternoon

Every faculty reports differently - one as a spreadsheet, one as plain text, one not in time at all. Somebody ends up typing it all back together by hand.

Consolidated view

Nobody maintains the number at the top

Budget and progress at every level come out of the initiatives underneath. That way leadership and faculty see the same thing, without anyone having to reconcile the two.

The figure at the top is not one somebody typed in - it follows from the initiatives underneath.

  • Construction, IT projects and grant-funded work sit in the same hierarchy.
  • Every level opens up down to the individual initiative.
  • Change something at the bottom and the top changes with it - no spreadsheet hand-off.

Campus licence for universities

So the price doesn't decide who gets to take part

The most common reason for isolated tools at a university is rarely a technical one - it's the licence question. As soon as every additional person costs money, people economize first and improvise second: one department gets access, everyone else gets spreadsheet exports. The overall view is lost before the first project is even created.

That's why we price differently for higher education - as a campus licence: one fixed price for your entire institution, with a licence allowance that covers your whole institution, instead of a tier where every additional head has to be negotiated again.

Licences for everyone at your institution

The licence allowance is sized to your institution and set generously above it. It's meant to go unnoticed day to day: whoever should take part gets access.

Fixed price with a price guarantee

One figure you can carry into your budget planning unchanged - and one that still holds when more people join in next term than you expected.

Predictability, not lock-in

A fixed price doesn't mean lock-in here: the operating model stays your choice, right down to on-premises in your own data center, and the open REST API keeps your data reachable at any time.

Every corporate body and sub-entity of your institution is eligible

At most German universities the student body is its own legal sub-entity with its own budget - and with strikingly similar work to the administration: meetings, decisions, budget lines and projects whose knowledge disappears with every change of term. So the student union, student parliament, student councils and student initiatives can be included on request, without turning it into a second procurement process. The licence allowance is cut to fit exactly that: it covers whoever belongs to your institution.

Questions from universities and colleges

The points that come up most in conversations with digitalization, the works department and IT - answered plainly.

Yes. The OKR cascade lets you break goals from your institutional development plan or digital strategy down into individual projects. Every project carries a visible contribution to a goal - initiatives with no real link to strategy stand out instead of just riding along.

Yes, that's exactly what the portfolio is built for. Construction projects, renovations and major equipment purchases run with their own milestones, budgets and risks on the Gantt chart, right alongside your IT and digitalization projects, in the same structure.

Every faculty or department gets its own workspace with its own roles. At the leadership level, the numbers still come together in one portfolio hierarchy with budget roll-up - you're not forcing a new way of working on anyone, and you still keep the overall view.

Processing follows GDPR with a data processing agreement, available as SaaS, dedicated Managed Hosting, or fully on-premises in your own data center. We provide the evidence your data protection officers need for review before anything goes live.

Complete plans from MS Project, Primavera P6 or Asta Powerproject can be imported, along with Trello boards and CSV lists. During rollout we support analysis, migration and integration into your existing system landscape.

The campus licence is our special pricing model for higher education: one fixed price for your entire institution with a price guarantee, instead of tiering by account count. The licence allowance is sized to your institution and set generously above it, so it goes unnoticed day to day. Every corporate body and legal sub-entity of your institution is eligible, so on request that includes student self-government with the student union, student parliament and student councils, as well as student initiatives. Talk to us and we'll work out the allowance for your institution.
